For players

You’re on someone’s golf tour site

Somebody organising a golf trip has built a website for it on Tourcraft and put your name on it. This page says what is held about you, where it came from, who else handles it, and how to be taken off.

Where your details came from

Your organiser entered them, not you. We never ask players for anything: there is nothing for you to sign in to, and we hold no email address or phone number for you. What the organiser may have added is your name, your handicap, a nickname, and a photograph of you. Nothing else about you is collected from anyone. From what the organiser typed, the site also works out where you are in the draw, the teams, the rooms and the results; and an AI writing tool writes the site’s short introductions from the trip’s facts (it is told never to write facts about a person, and is sent no player’s name).

Who holds it

Tourcraft Ltd, a company registered in England and Wales (company number 17483252), registered office 30 Watercress Drive, Sevenoaks, TN14 5AL. We host the site for your organiser. Write to us at support@tour-craft.co.uk.

What it is used for, and on what basis

To show your group the trip: the itinerary, the draw, the field and the results, on an unlisted website, unlisted rather than access-restricted: anyone who obtains its link or trip code can view it, including after it has been passed on. To keep it as a keepsake after the trip. To write the site’s short introductions with an AI tool from the facts your organiser typed. A photograph is checked automatically before it appears, for our own reason: keeping the service safe. No decision about you is made automatically. We rely on our and your organiser’s legitimate interest in running the trip’s site, and you can object at any time by asking to be taken off (see below). Nothing about you is used for advertising, sold, or used to train anything.

Who else handles it

Anyone your organiser gives the link or the trip code to can see the site. Behind it, the companies that run our service handle the data to do their jobs and nothing else: hosting (Vercel), the database (Neon, in London), photograph storage (Cloudflare, in the EU), the automatic photograph check (Amazon, in London), and the writing tool (Anthropic, in the United States, a transfer outside the UK, made under the UK Addendum to the standard data transfer clauses, with our own transfer assessment). A small number of Tourcraft staff can see any tour when that is needed to give support or deal with a legal request, and every such access is recorded. The full list is in our privacy policy.

How long

For as long as the tour’s site exists: it is a keepsake, so it stays online after the trip unless the organiser deletes it or takes you off it. A photograph that is removed is deleted from storage the next time the site is published. If someone has saved a copy of a page, or opened the tour in the app while offline, that copy is outside our reach: the app replaces its copy the next time it is opened online, but we cannot remove what a reader has kept.

Your rights, and how to be taken off

The quickest way is to ask your organiser, who can remove you or your photograph themselves. You can also write to us at support@tour-craft.co.uk and we will remove you from the live site ourselves, within a month at the latest, which is the legal limit, and usually far sooner. You can also ask what we hold about you, ask us to correct it, or object to its use. None of this needs an account.

If you are not satisfied with how we handle it, you can complain to the Information Commissioner’s Office at ico.org.uk.

The full policy

This page is the short version for players. Everything else (what organisers give us, the app, and every company named above) is in our privacy policy.
